CIS Quality & Continuous Improvement
Turn Problems Into Corrective Action – and Corrective Action Into Knowledge
CIS connects Nonconformities, Near Misses, Customer Feedback, Corrective Actions, root-cause analysis, Lessons Learned and problem-solving into one closed-loop quality system.
Closed-loop quality management
The issue is only the beginning of the process
CIS is designed to carry quality information forward. A problem can begin as an inspection result, NCR, Near Miss or Customer Feedback record and then move into corrective action, verification and organizational learning.
Capture
Record Nonconformities, Near Misses and Customer Feedback with structured criteria, descriptions, evidence and cost information.
Resolve
Document disposition, containment and the immediate response needed to control the issue.
Correct
Link the problem to a Corrective Action and investigate the cause so action can be directed at preventing recurrence.
Learn
Move important information into Lessons Learned so future employees can find and reuse what the organization already discovered.
Nonconformity & Near Miss
Capture problems while the information is still fresh
CIS Nonconformity records collect more than a description. They can preserve the information needed to understand where the issue happened, what was affected, how it was resolved and what happened next.
- Quality, environmental, safety and other issue types.
- Customer or supplier association.
- Reference, part, asset, service and product information.
- Location and process or department.
- Classification and NCR criteria.
- Resolution and associated cost.
- Pictures and supporting files.
Connected action
An NCR can immediately become something more
When the NCR is saved, CIS can create and link a Corrective Action, link the NCR to an inspection, add the issue to Lessons Learned, notify selected Associates and, where appropriate, initiate a work order.
Supplier-caused nonconformities can also generate supplier corrective-action communication.
Customer Feedback
Treat customer complaints as quality information, not isolated correspondence
CIS records how the feedback was received, who raised it, the affected product or process, units affected, resolution, root cause and cost. Supporting files can remain with the record.
From complaint to improvement
Keep customer issues connected to follow-up
Customer Feedback can lead directly into Corrective Action and Lessons Learned rather than ending when the immediate customer response is complete.
- Customer and contact information.
- How the complaint or feedback was received.
- Product, process and reference information.
- Resolution and root-cause information.
- Cost associated with the feedback.
- Corrective Action and Lessons Learned options.
Corrective Action
Move beyond correction and address why the problem occurred
CIS Corrective Action connects the originating issue to the investigation, the assigned responsibility, implementation and final verification.
Link the issue
Connect the CAR to an NCR, Customer Feedback or Near Miss record and carry the problem description forward.
Investigate the cause
Work through the Five Whys and root-cause investigation rather than stopping at the immediate correction.
Implement action
Record containment, planned corrective action, responsible people and the actions actually implemented.
Verify effectiveness
Quality management reviews the response, verifies implementation and formally closes the Corrective Action.
Verification before closure
“We did something” is not the same as “the action was effective”
CIS gives the Quality Manager or ISO Facilitator a separate closure responsibility. The response can be reviewed and rejected if it does not adequately prevent recurrence.
- Review the proposed resolution.
- Reject inadequate corrective-action responses.
- Verify the action was actually implemented.
- Record verification and effectiveness dates.
- Add the result to Lessons Learned when appropriate.
- Close the CAR only after verification.
Automatic escalation
Open actions remain visible until somebody closes them
CIS sends the initial Corrective Action notification and can send record-modified notices and past-due reminders. Additional managers can also be selected to receive late-action notifications.
Until the Corrective Action is formally closed, past-due reminder notifications continue.
AI-assisted quality improvement
Give employees help where root-cause thinking is hardest
CIS AI can assist directly within quality records. In Corrective Action, it can help with Five Whys, root cause, immediate containment and actions intended to eliminate the cause.
In Nonconformity records, AI can also help suggest a resolution based on the description entered by the user.
Human judgment remains in control
Use AI to support the investigation – not replace verification
The quality process still requires the responsible people to review, decide, implement and verify the response. AI provides assistance inside the workflow while accountability remains with your organization.
- Five Whys assistance.
- Root-cause suggestions.
- Containment suggestions.
- Corrective-action suggestions.
- NCR resolution assistance.
Lessons Learned
Turn yesterday’s problems into tomorrow’s organizational knowledge
Lessons Learned is a central searchable library built from important information discovered through quality and operational activities. The more the system is used, the more useful that knowledge base becomes.
Searchable organizational memory
Before solving a problem, find out whether your organization already solved it
Lessons Learned can be searched using the words contained in the stored information, making past experience available to employees who were not present when the original problem occurred.
- Search by customer.
- Search by product or part information.
- Search by process.
- Search by issue description.
- Search by keywords from past lessons.
Knowledge transfer
Keep experience when experienced people eventually leave
The Lessons Learned library gives newer employees access to the problems, decisions and solutions accumulated by the organization over time instead of leaving that knowledge only in people’s memory.
D8 Problem Solving
Use a more structured problem-solving method when the issue demands it
CIS also includes D8 Problem Solving as an alternative to, or in some cases in addition to, the standard Corrective Action process.
Managed D8 follow-up
Keep the disciplined problem-solving process connected to accountability
D8 takes users through the structured problem-solving steps and uses CIS action management to keep assigned work visible.
- Structured D8 problem-solving workflow.
- Action notification e-mails.
- Calendar monitoring.
- Personal To-Do List follow-up.
- Printable D8 records.
Quality reporting
See where problems occur, what they cost and whether actions are closing
CIS provides detailed and management-level reporting across its quality processes so individual records can be analyzed as trends.
One connected improvement process
Keep the history of the problem connected to what you did about it
CIS reduces the need to reconstruct the story later because related records can remain linked throughout the improvement process.
Continuous improvement that remembers
Do more than close problems – build a system that gets smarter from them
CIS connects issue reporting, corrective action, root-cause analysis, verification, reporting and Lessons Learned so every problem has the potential to strengthen the organization that encountered it.
